Terms of Service
Version 2026-10-24 · Last updated 24 October 2026
These terms are an agreement between you and Ebnone Technologies LLP ("we", "us"), the maker of AyCare. You accept them when you tick the box on the demo, signup or staff invite form. If you sign up for a clinic, you accept them for the clinic and confirm you are allowed to do so.
Our Privacy Policy explains how we handle personal data and is part of these terms.
1. The service
AyCare is online software for Ayurveda practices: appointments and tokens, case sheets and prescriptions, pharmacy and stock, billing and accounts, staff, and the add-ons a plan includes, such as Panchakarma and therapy scheduling, laboratory, and ward and bed management. You use it in a web browser.
2. The free demo
- The demo opens a private sample clinic with made-up patients. It is free and stays open for 7 days, after which it and everything in it is deleted.
- Do not enter real patients' details in the demo. It is for trying AyCare, not for running a clinic.
- Some features, such as file uploads, are not available in the demo, and we limit how many demos can be opened each day.
- We may contact you about the demo using the details you gave; see the Privacy Policy.
3. Accounts
- You must be 18 or over and give true, current details.
- Keep your password private. You are responsible for what is done with your account.
- A clinic's owners decide who joins the clinic and what each person can see and do. The clinic is responsible for its staff's use of AyCare and should remove people who leave.
- Tell us at once if you think someone has used your account without permission.
4. Activation, plans and payment
- After you sign up, we verify the clinic and contact you to activate it. We may decline a clinic we cannot verify.
- Plans, add-ons, doctor seats, branches and beds are as shown on our pricing page or as agreed in writing at activation. Prices are paid yearly in advance and do not include GST. We are not registered for GST at present, so no GST is charged; if we register, we will tell you before GST is added to your invoices.
- Your plan runs until the paid-until date shown in AyCare. If it is not renewed by then, the clinic becomes read-only: you can still view and print records, but not add or change them, until you renew.
- We may change prices for future years. We will tell you at least 30 days before a change applies to your renewal.
5. Refunds
If AyCare is not right for your practice, ask for a refund within 30 days of your first payment and we will refund 100% of it, with no questions asked. Write to us at the email address below. We send the refund to the way you paid, within 14 days of your request, and close the clinic's paid plan.
After those first 30 days, and for renewals, payments are not refundable, except where we end the service without cause (see section 11) or where the law says otherwise.
6. The clinic's responsibilities
- AyCare is a record-keeping and management tool. It does not give medical advice. Diagnoses, prescriptions, doses, therapies and every other clinical decision are the responsibility of the clinic and its doctors. Diagnosis codes and catalogue entries are shown to help you and may contain mistakes: check them.
- Bills, GST invoices and accounts are made from what you enter. The clinic is responsible for their correctness and for its own tax filings; please have your accountant review them.
- The clinic must hold the registrations and licences its practice needs, and enter only data it is allowed to collect.
- Check printouts (prescriptions, bills and reports) before you give them to patients.
7. Data processing terms (for clinics)
These terms apply to the personal data, including health data, that a clinic enters about its patients and staff ("clinic data"). The clinic is the Data Fiduciary for clinic data under India's Digital Personal Data Protection Act, 2023. The clinic authorises us to process clinic data as its Data Processor, on these terms:
- The clinic gives its patients the notice the law requires and has a lawful basis, such as consent, for recording their data in AyCare. AyCare does not collect patient consent for the clinic.
- We process clinic data only to provide AyCare to the clinic, on the clinic's instructions (which are given by using AyCare), and as the law requires. We do not sell it or use it for our own purposes.
- Our staff who can reach clinic data are bound to keep it confidential.
- We keep reasonable security safeguards, as described in the Privacy Policy.
- We use the service providers named in the Privacy Policy, under terms that protect the data. We will tell clinics before adding a new provider that processes clinic data.
- If a breach affects clinic data, we tell the clinic without delay, give it the information we have, and help it inform the Data Protection Board of India and the people affected.
- We help the clinic answer requests from its patients to see, correct or delete their data.
- We never delete clinic data on our own, including after the clinic's account ends, because the clinic must keep its patients' medical records. We give the clinic a full copy on request, and delete clinic data only on the clinic owner's written instruction, where the law allows it.
- The clinic accepts that a patient's allergies, chronic conditions, regular medications and Prakriti are shared with other AyCare clinics that treat the same patient, as described in the Privacy Policy, and tells its patients so.
8. Acceptable use
You must not:
- use AyCare for anything unlawful, or to store data you have no right to hold;
- try to reach another clinic's data, get around limits or permissions, or test our security without our written permission;
- overload, disrupt or reverse-engineer the service, or use automated tools to copy it;
- resell AyCare or let people outside your clinic use it, unless we agree in writing.
9. Your data and our software
The clinic owns its clinic data. It gives us permission to store and process it only to provide AyCare. AyCare itself, including its software, design and content, belongs to Ebnone Technologies LLP; you may use it while your account is active, under these terms. If you send us ideas or feedback, we may use them freely.
10. Availability and changes
We work to keep AyCare running at all times, but it may sometimes be unavailable, for example for maintenance or because of problems with our providers or the internet. We improve AyCare often and may change or remove features; if we remove a feature your paid plan relies on, we will tell you and offer a fair solution, such as a pro-rata refund for that part. Support is by email and WhatsApp during Indian business hours.
11. Suspension and ending the service
- You may stop using AyCare at any time. A clinic owner can ask us to close the clinic's account.
- We may suspend or close an account that breaks these terms, does not pay, or that we must block by law. Where we can, we will warn you first and give you time to fix the problem.
- If we end the service for a clinic without cause, we refund the unused part of its current paid year.
- When an account ends, section 7 applies to the clinic data. Sections 6, 9, 12 and 13 continue to apply.
12. Liability
AyCare is provided as it is. To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profits, lost data that could have been recovered from your own records, or harm arising from clinical decisions, and our total liability to a clinic in any 12 months is limited to the fees it paid us in those 12 months. Nothing in these terms limits liability that cannot be limited by law.
The clinic will compensate us for claims by its patients or others that arise from the clinic's breach of these terms or of the law, including recording data without a lawful basis.
13. Law and disputes
These terms are governed by the laws of India. We will first try to settle any disagreement by talking to you. If that fails, the courts at Kollam have exclusive jurisdiction.
14. Changes to these terms
When we change these terms we update the version and date at the top of this page. For important changes we email clinic owners at least 30 days before they apply. Continuing to use AyCare after that means you accept the new terms; if you do not, you may close your account, and section 11 applies.
